Protect your Small Business with Email Encryption

Today many small businesses are using their websites to gather customer information, exchanging emails with sensitive and private details information regarding customers. This email communication can include details about the customer such as the name, address, phone number, bank account details and credit card numbers. Many small and medium sized companies conduct transactions and business negotiations and communications through email. It means if someone intercepts the data transfer or email they can steal the personal and financial data. The stolen data can be used by the criminals for online purchasing or even sold to other criminals or companies.

This can create many problems for the casual small business owner. Not only does this mean that valuable data is unsecured and in jeopardy, but it could mean that you are to be held responsible for any data breaches on your system and for the loss of personal information about your customers. This has already happened to larger companies such as Citibank and Sony, and should cause small business owners to think seriously about email security. One of the easiest options of email security available is email encryption.

Email encryption offers you an extra layer of security, as the data inside the email is secured and cannot be opened or read by anyone who is not authorized to do so. If you are using an email server you can use data encryption software for emails coming in and out of the system to ensure that if it is intercepted by someone, it cannot be read.

All of the email server encryption software makes use of digital certificates or keys so only the sender and receiver can read the contents of the email and open the attachments. The software is available today at a reasonable price from vendors such as Symantec, Entrust, and Securence. It is a good investment for small business owners as it offers the necessary protection.

You can choose from host-based encryption software where you set up an email domain on the server of the data encryption company to provide the security or you can also choose a plug-in system that works with popular email programs like Outlook.

The software can also be used to guard your system against spam, viruses and phishing attacks which is also a welcome added option. This is a good way of keeping virus attachments away from your system and it also prevents hackers getting into your system and then sending out spam from your system. It can also help to stop the hackers sending phishing emails from your company for financial gain. Encryption software is definitely worth considering for your business as it can keep your emails secure and also save you money by preventing the theft of your data.

You’re right. Companies need to be more concerned with encrypting emails. Mine uses TrulyMail because it’s free but there are plenty of others. The things I like most about encrypted emails is that you know who they are from (because they are signed). I also like knowing if someone hacks gmail’s servers, my emails are still safe.
