New Phone System That Fosters Human Relationships And Makes Your Customers Feel Special

Most people calling any business much prefer a human to interact with, but even better is to have a human that knows what they’re talking about. Who likes explaining their situation or needs two or more times to different people? The easiest way to lose a customer is to lose your focus on them and their needs, and being routed through different extensions and a number of people who probably never heard of them or what they want can equate to highly frustrated and angry individuals.

The phone system you have can make or break your business. Anything that can make your phones a boon rather than a burden should be investigated. Recently we became aware of a phone system called RingByName , which enhances the calling experience significantly for you and your customers.

RingByName prides itself on being different from other service providers by making it easier for your customers to communicate quickly and successfully with the people they need to get a hold of. This means it ties every call that comes into your business to an individual caller, giving you all the information you might need on them before you pick up the phone. Your phone system thereby becomes a significant tool through which you can build relationships.

You might think this isn’t exactly ground-breaking technology. After all, there are services like RingCentral, Virtual PBX, and Nextiva, all of whom have their sights sharply on small businesses. So, how does RingByName set itself apart from the ‘usual’ services mentioned above?

For one, RingByName is a combination of many different aspects, including a hosted phone system, a customer relationship management (CRM) system and provides mobile and desktop accessibility to access a lot of customer information from their inbound calls. Not many systems provide all of these combined into one package. This information takes the form of what RingByName calls a “customer history cheat sheet”.  The cheat sheet allows anyone at your company to greet them by name upon answering and know exactly what previous interactions they’ve had with other agents within your company.

The level of media integration is also pretty impressive. The RingByName system can integrate with other media, including CRM systems you may already have in place. This gives you the power to have that ‘intelligent’ screen pop up when that customer calls, so you know where they left off. Their identity, all recent contacts and internal notes will all be accessible. Furthermore, RingByName is looking to expand into other social media, including LinkedIn, Facebook, and Twitter – all of which will be accessible before their call is taken.

As with some systems, the CRM applications are tied just to the desk phone; with RingByName, all of the data in that “cheat sheet” is available over a wide variety of devices – your mobile phone, desktop, and desk phone. Regardless of what you’re using, all of your customers’ data will be at your fingertips and in real time. This can give you some much-needed flexibility as well as the ability to offer unparalleled customer service.

If you can imagine how happy you would be to place a call to a business and have them immediately on top of your needs, think of how your customers would react to that level of service and attention. Pricing starts at a pretty low $35 per month per user, and considering the level of CRM information and cross-platform accessibility this can give you, RingByName can be a powerful ally in keeping your customers happy.

This phone system sounds great. We work really hard on picking up as many of our calls personally as we can so that our customers get to speak to a real person the first time they ring. With systems like the one you are talking about this should become easier and customer service will be maximised. Thanks for the interesting information.
